Adapt Technology – Enhance Productivity

Introduction

Students doing higher studies or working persons often have the feeling that 24 hour day is not enough for to complete your assignments/projects/works. The daily grind makes them feel helpless, sleep deprived, food deprived et el. Adapt Technology – Enhance Productivity is likely what us all need.

Ways Of Productive Working

Productivity of an individual many times faces roadblocks that hinder productivity. General steps one need to follow are all or some of the following steps.

  • Create an agenda
  • Prioritize work based on key results
  • Delete, defer, delegate, or diminish
  • Leverage your  strengths
  • Workload: assign time or capacity to tasks
  • Map out a plan before beginning
  • Network for cross-functional collaboration

The Role of Technology to Enhance Productivity

At its core, productivity is about efficiency — accomplishing more with fewer resources, including time, effort, and cost. Technology plays a vital role in this because it:

  1. Automates Repetitive Tasks – Software and machines handle routine, time-consuming activities such as data entry, scheduling, or financial reporting.
  2. Improves Communication – Emails, instant messaging, video calls, and collaboration platforms reduce delays and keep teams connected globally.
  3. Enables Better Decision-Making – Data analytics tools process vast amounts of information to provide insights that support informed decisions.
  4. Facilitates Mobility – Mobile apps and cloud platforms allow work to continue anywhere, anytime.
  5. Enhances Creativity and Innovation – Design software, AI tools, and digital platforms provide new ways of creating and problem-solving.

Without technology, productivity would be limited to human capacity, which is finite. With technology, our reach and capabilities multiply many times

Productivity is not about replacing humans with machines but about creating synergy. The future belongs to those who can work alongside technology effectively. Consider these perspectives:

  • Humans bring creativity, empathy, and critical thinking.
  • Technology brings speed, accuracy, and scalability.

For example, in healthcare, AI scans medical images faster than humans, but doctors interpret results and connect emotionally with patients. In education, e-learning platforms distribute content widely, but teachers inspire and mentor students. This partnership enhances overall productivity.

Adapt Technology – Enhance Productivity is more relevant than ever in the 21st century. Technology is not merely a tool but a force multiplier that transforms how we live, learn, and work. However, its benefits are realized only when we adopt it with purpose, adapt it to our specific needs, and use it mindfully.

Manage Your Goals

The first thing is to set your goals:  daily, weekly, monthly, and yearly and project wise. No goal is achieved in one single step. Arriving at one goal is the starting point to another. Break Goals you think as impossible into smaller goals, write them down, believe in them, and, then, treat these as routines.

Create Checklist

• Make a separate notebook for each main goal

• Make a separate text document for each main goal

In life there could be, and would be, many distractions. One sometimes forget about the main goal(s). There could be many tasks on the to-do lists. Always keep an eye on your goal(s). Focus on one goal at a time. Only very lucky persons have only single goals while doing higher studies or works like services.

Keep yourself motivated. You’ve got to be motivated, you’ve got to wake up every day and understand what that day is about; you’ve got to have personal goals – short term goals, intermediate goals, and long term goals. Be flexible in getting to those goals.  If you do not have goals, you will not achieve them.

Set Your Tasks

“Each morning sees some task begun, each evening sees it close; something attempted,

something done, has earned a night’s repose.”

– Henry Wadsworth Longfellow

Way to achieve your goals is to set tasks. Your goal is a destination you are aiming to reach. If you were able to reach it in one day, that would be great! But, if we think about it, most big goals are time-consuming. They may need some time to be reached, but, when they are, they are a huge reward.

Tasks Checklist

• Write down the tasks you want to achieve in the day when working towards a goal.

Make Notes

When working through your tasks, you need to write things down. Most times you would prefer the pen and paper option. However, did you notice that many of the notes go missing:  lose a piece of paper, or paper gets spoiled, or is thrown away by mistake?

Bill Gates says that Paper is no longer a big part of his day. He get 90% of his news online, and when he goes to a meeting and want to jot things down he uses his Tablet PC. It’s fully synchronized with his office machine, so Gates has all the files he needs.

Microsoft OneNote is very suitable for students and professionals. It is bundled with MS Office. Below is a screen shot of this application.  OneNote uses Notebooks – Sections (for each activity) –Pages.

Some Thoughts on Importance of Data Saving

While we use computers every day, problems arise by way of many unexpected and expected events like failing disks, malware or viruses – a sure recipe for data loss. The first line of defense is backup on external disks and usb devices.  However these can fail over time or be simply lost. Backing up on Google drive, One Drive, Dropbox and other such cloud storage solutions ensures durability and availability from anywhere.

Improving productivity is a continuous process. It may seem overwhelming, but simple organization tools and collaboration tactics can help make you more connected—and more efficient.
